Job Description

Responsibilities

  • Plan and coordinate events such as corporate functions, meetings, conferences, exhibitions, training sessions, and social events.
  • Develop event timelines, schedules, and detailed action plans.
  • Coordinate event logistics including venue selection, layout, equipment, transportation, and accommodation.
  • Liaise with vendors, suppliers, caterers, decorators, and service providers.
  • Negotiate contracts and manage vendor deliverables.
  • Coordinate with internal departments and external stakeholders to ensure event requirements are met.
  • Prepare event budgets and monitor expenses to ensure cost control.
  • Process purchase requests, invoices, and payments related to events.
  • Maintain accurate event documentation and records.
  • Oversee on-site event setup, operations, and teardown.
  • Ensure compliance with safety, company policies, and event guidelines.
  • Handle last-minute changes, issues, or emergencies professionally.
  • Assist with event promotion, invitations, and participant registration.
  • Coordinate event materials such as banners, brochures, presentations, and giveaways.
  • Support post-event communication and feedback collection.
  • Conduct post-event evaluations and prepare reports.
  • Gather feedback and recommend improvements for future events.

Requirements

  • Diploma or Bachelor’s degree in Event Management, Marketing, Hospitality, or a related field.
  • Proven experience in event coordination or a similar role.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication and interpersonal abilities.
