Job Title: Operations Assistant, Sea Freight Export

Work/Client Address: No. 2 Block B, Jalan Bumbung U8/90, Taman Perindustrian Bukit Jelutong, 40150 Shah Alam, Selangor.

Working Hours: Monday to Friday, 9AM to 6PM

Job Type: Full Time-Contract 6 months (Renewable based on client's demand)

Position Level: Non-Executive

Salary Range: RM 3,300 – RM 3,700 per month (Depending on experience)

Attire: Formal

Key Responsibilities

  • Shipment & Data Management: Register and update shipment data accurately and timely into internal/external forwarding systems (such as CW1) in compliance with standard operating procedures (SOPs).
  • Stakeholder Coordination: Coordinate booking requests, document processing, and shipment information with shipping lines, agents, subcontractors, and overseas offices from booking to delivery.
  • Documentation Verification: Verify the completeness and accuracy of all shipping documents, including Bills of Lading (BL/MBL), shipping certificates, advance manifest submissions, and SOLAS/VGM data.
  • Compliance & Special Cargo: Ensure necessary documentation and carrier approvals are secured for dangerous/hazardous cargo. Monitor permit declaration activities with external vendors.
  • Billing & Costing: Input and update accurate shipment costs. Verify vendor/intercompany invoices, handle billing disputes, and ensure timely invoicing and collection (including cash term accounts).
  • Irregularity Handling: Proactively monitor cargo status, send pre-alerts upon vessel departure, and escalate shipment issues (e.g., short shipments, damages, missed vessels) according to protocol.

Requirements & Qualifications

  • Experience: Minimum of 1 year of working experience in the sea freight or freight forwarding industry is highly preferred.
  • Education: Open to candidates with Secondary School, Certificate/Diploma, or Bachelor’s Degree qualifications.
  • Languages: Proficiency in English and Bahasa Malaysia.
  • Skills: Proficient in Microsoft Office (Excel, Word, PowerPoint) and everyday email communication.
  • Age: Between 24 and 40 years old.
  • Traits: Strong communication skills, proactive attitude, and the ability to meet strict reporting and customer deadlines
