JOB SUMMARY
The Executive, Compensation & Benefits is responsible for the full spectrum of compensation and benefits functions, including accurate and timely payroll processing, statutory compliance, and effective administration of employee benefits. This role requires strong analytical thinking, attention to detail, and the ability to handle sensitive information with integrity.
The Executive will work closely with internal stakeholders, external vendors, and statutory bodies to ensure all compensation-related matters are managed efficiently and in compliance with regulatory requirements. The incumbent will also play a key role in HRIS management, data reporting, and digitalization initiatives to enhance payroll accuracy, service delivery, and employee satisfaction. The goal is to ensure a high level of service delivery and that all payroll and benefits processes meet the Company's Service Level Agreements (SLA).
KEY RESPONSIBILITIES
Compensation & Benefits Administration
- Prepare and issue various employee letters: transfer, promotion, salary adjustment, confirmation, resignation acceptance, end of contract, etc.
- Monitor probationers and contract staff, including performance appraisals and contract renewals.
- Track employees reaching retirement age and update statutory contributions accordingly.
Payroll Processing
- Maintain accurate payroll data and ensure timely payroll processing.
- Handle bonus payments, second payouts, intern/student payroll, and statutory contributions.
- Generate payroll reports and ensure compliance with relevant laws and internal SLA.
- Manage EA form preparation, updates, and distribution.
HRIS, Leave & Data Management
- Maintain and ensure accuracy of employee data in HRIS (payroll, leave, claims, attendance, organizational structure).
- Manage HRIS modules to ensure smooth system functionality and user experience.
- Update leave balances, attendance records, working calendars, and public holiday replacements.
- Generate regular and ad-hoc HR reports (e.g., headcount, turnover, payroll analysis, benefits utilization).
- Develop dashboards and reports using tools such as Power BI.
- Perform data validation, reconciliation, and periodic audits to ensure data integrity.
- Manage system access control and ensure data confidentiality and security.
- Liaise with IT and system vendors for troubleshooting, enhancements, and upgrades.
- Support HR digitalization and process improvement initiatives, including automation.
- Provide user support and basic training on HRIS/ESS functionalities.
Performance Management
- Coordinate and compile company-wide performance review ratings and documentation.
Benefits Administration
- Administer employee insurance plans (ASO, GHS, GPA, GTL), including claims, renewals, registration, and termination.
- Coordinate SOCSO claims and angpow distribution.
- Manage employee fuel card (Petronas) matters, including registration, limit monitoring, statements, and closure.
ADMINISTRATIVE DUTIES
- Prepare and track invoices, purchase requisitions (PR), and payments for vendors (e.g., Micare, Howden).
- Manage "Balance Not Eligible" cases through payroll deduction and vendor coordination.
- Maintain proper filing and documentation for ESS, payroll, and HR-related projects.
REQUIRED SKILLS & COMPETENCIES
- Strong analytical thinking problem-solving
- Advanced Microsoft Excel skills (e.g., Pivot Tables, VLOOKUP/XLOOKUP, formulas, data analysis).
- Experience in HR reporting, data analysis, and dashboard development.
- Knowledge of Power Bl or other data visualization tools.
- High level of accuracy and attention to detail.
- Strong numerical and analytical capability.

- Ability to handle sensitive and confidential information with integrity.

- Familiarity with HRIS systems and payroll software.
