Job Summary:

The Operations Manager will oversee and coordinate all operational activities across the company, ensuring smooth functioning of office administration, facility maintenance, insurance management, and indirect procurement. This role will ensure efficiency, compliance, and cost-effectiveness across retail outlets, warehouse, and the HQ office.

Key Responsibilities

  • Oversee day-to-day office administration and facility operations to ensure smooth functioning across all locations.
  • Coordinate maintenance schedules, repairs, and cleaning services for all facilities.
  • Manage service contracts with vendors and ensure timely renewal and compliance.
  • Monitor utility usage, safety, and operational compliance across outlets, warehouse, and HQ.
  • Ensure outlets, warehouse, and HQ maintain high standards of cleanliness, safety, and functionality.
  • Manage all company insurance policies, including all-risk, general, and property insurance.
  • Ensure timely renewals, claims processing, and liaising with insurance brokers and underwriters.
  • Advise management on insurance coverage, risk mitigation, and compliance requirements.
  • Maintain accurate records and documentation for all insurance policies and claims.
  • Oversee all indirect procurement activities for the company, ensuring cost efficiency and timely delivery.
  • Source, evaluate, and manage vendors for office supplies, maintenance services, and non-production-related goods.
  • Negotiate contracts, monitor vendor performance, and ensure compliance with company procurement policies.
  • Maintain procurement records, track budgets, and identify opportunities for cost savings.

Requirements

  • Bachelor’s degree in Business Administration, Operations Management, or related field.
  • Minimum 5 years of experience in operations management, facility management, or procurement.
  • Strong knowledge of insurance management and risk mitigation.
  • Excellent organizational, leadership, and vendor management skills.
  • Ability to manage multiple locations and prioritize tasks effectively.
  • Strong negotiation, communication, and analytical skills.
