Job Description

We are seeking a highly organized, proactive, and resourceful Personal Assistant (PA) to Director/General Manager to provide comprehensive administrative and personal support to senior management in the education sector. The ideal candidate will possess strong communication skills, attention to detail, and the ability to handle multiple priorities in a fast-paced academic environment.

Key Responsibilities:

  • Provide full administrative and secretarial support to the assigned executive(s).
  • Manage daily schedules, calendars, appointments, and meetings.
  • Prepare, format, and proofread reports, letters, presentations, and internal communications.
  • Coordinate travel arrangements, accommodation, and itineraries.
  • Organize and support school events, conferences, and staff meetings.
  • Handle confidential information with a high degree of discretion and professionalism.
  • Liaise effectively with internal departments, external stakeholders, parents, and education partners.
  • Maintain proper filing systems and manage correspondence.
  • Assist in managing projects or initiatives under the executive’s portfolio.
  • Perform other ad hoc tasks as assigned.

Requirements:

  • Diploma or Degree in Business Administration, Education Management, or a related field.
  • Minimum 2–3 years of experience in a personal assistant, executive assistant, or administrative role (experience in the education industry is an advantage).
  • Excellent command of English, Malay, Mandarin and proficiency in other languages is a plus.
  • Strong organizational and time-management skills.
  • Ability to work independently with minimal supervision.
  • High level of discretion, integrity, and confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Flexible, adaptable, and able to work under pressure.
  • Strong interpersonal and communication skills.
  • Possess own transport.
  • Priority given to those who can start work IMMEDIATELY

Preferred Attributes:

  • Familiarity with academic scheduling and school administrative processes.
  • Experience dealing with parents, students, and education authorities.
  • A positive attitude and a willingness to go the extra mile.
