Operational Oversight & Execution:
- Support the end-to-end operational planning and delivery of global BBW events from planning, production, logistics, to post-event wrap-up.
- Ensure detailed execution of artworks, booth/trolley preparation, packing schedules, event layouts, and show-day operations.
- Liaise with vendors for printing, setup, logistics, F&B, AV, and venue coordination.
- Supervise on-ground event crews, part-timers, and logistics teams during setup, show, and teardown.
- Anticipate and resolve operational gaps such as delivery misalignments, equipment issues, or crew coordination.
- Maintain detailed project timelines, checklists, trackers, and status updates for each event.
- Ensure that all departments are aligned and deadlines are met.
Documentation & Compliance:
- Manage all documentation related to event execution: contracts, permits, vendor agreements, compliance forms, approvals, and post-mortem reports.
- Ensure that all paperwork is complete, up to date, and filed according to internal SOPs.
- Oversee event-related insurance requirements, including logistics insurance, damage/loss coverage, and other risk-related documentation.
- Lead and supervise the work of a Document Controller, ensuring consistency, accuracy, and timely updates across all operational documents.
Floor Plan & Setup Oversight
- Work with internal teams to review and finalize floor layouts, traffic flow, and functional space allocation.
- Coordinate with warehouse, logistics, and venue partners to ensure readiness and compliance with setup requirements.
- Ensure safety, compliance, and housekeeping standards are maintained throughout the event period.
Cross-Team Support:
- Act as a bridge between departments (Marketing, Creative, PR, Finance, Warehouse, etc.) to ensure clear communication and task execution.
- Escalate bottlenecks early and propose resolutions in coordination with the Business Director.
On-Ground Execution Support:
- Be present on-site when needed to support pre-opening setup, troubleshooting, and operational readiness.
- Lead or support daily operational briefings and follow-ups during the event period.
Process Improvement:
- Identify areas for improving efficiency, structure, and coordination in how global events are managed.
- Support the development of SOPs, templates, and workflows to strengthen operational discipline.
Requirements:
- Minimum 8 - 10 years’ experience in event operations, logistics, or large-scale project execution.
- Strong in administration, timelines, coordination, and on-ground execution.
- Super organized, disciplined, and great with checklists and follow-ups.
- Comfortable working extended hours and across time zones when needed.
- Preferably has experience in exhibitions, events, or retail buildouts (regional/international exposure is a bonus).
- Strong communicator, solution-oriented, and works well under pressure.
- Flexible, able to be on-site at events and work extended hours.
